Our process is built on the principle that context is everything.
Most AI and tech projects fail for the same reason: someone builds what they think you need without properly understanding your business first. We don’t do that. We work in partnership with our clients, not at arm’s length.
Adopting AI can feel uncertain — there’s a lot of noise, and it’s hard to know what’s genuinely useful versus what’s just hype. To us, AI is a tool, not a tactic. But we both need to know where we’re going with it before we get started, so we start by listening. Our Process
Discovery Call
A straightforward conversation to understand how your business actually runs. What’s working, what’s slow, what’s manual, and where you think the opportunities might be. We’ll ask questions, listen properly, and tell you honestly whether we can help. If we’re not the right fit, we’ll say so. If there’s a simpler answer than what you think you need, we’ll tell you that too.
This is where we start to understand your business and your blockers, an understanding of your current technology landscape and how your systems connect, so anything we recommend is grounded in how you actually operate, not what’s technically interesting.
What you get: Clarity on whether it’s worth exploring further, a sense of where AI could make the biggest difference, and an honest view of what the next step looks like.
Context & Planning
Every project includes a context and planning phase — it’s how we make sure what we build actually works for your business. We map your processes, look at your data, talk to the people who use the systems every day, and identify where the real problems and opportunities are.
We’re not just looking at technology. We’re looking at your business strategy, your workflows, and where AI and automation can genuinely make a difference versus where they’d just add complexity.
This phase also includes an assessment of your current data practices and security. If your team is using free AI tools, your data may already be leaving your organisation without you realising. We’ll identify any risks, recommend how to address them, and ensure that anything we build is secure, compliant, and aligned with UK Government, ICO, and GDPR guidance.
What you get: A clear plan showing what we’d build, why, in what order, and what the expected outcomes are. Plus an honest assessment of your data security position and any immediate risks that need addressing.

Proposal & Agreement
Based on what we’ve learned, we put together a clear proposal. What we’ll build, the timeline, the investment, and what you can expect at each stage. No surprises, no scope creep, no vague estimates. You know what you’re getting and what it costs before we write a line of code.
We’ll also specify how your data will be handled and how security and compliance requirements will be met.
Payment is staged across milestones — not all upfront.
What you get: A clear proposal with fixed price, timeline, milestones, and data handling specifications. No commitment until you approve.
Build
We build iteratively. You see progress regularly — not a big reveal after three months of silence. At each checkpoint, you can review what’s been built and give feedback.
This isn’t just about writing code. We’re often remapping business processes alongside the technical build. Sometimes the biggest gains come from simplifying a workflow, not automating a complicated one.
Every tool we build goes through multiple security audits before it goes live. We test for vulnerabilities, data leakage, and edge cases. If it’s connecting to your existing systems via API, we ensure those integrations are secure and properly authenticated. Nothing ships until it’s fully tested and production-ready.
What you get: Regular progress updates and confidence that what we’re delivering is exactly what we agreed.
Handover & Training
Your system goes live with proper onboarding so your team hits the ground running. In many cases, the new system slots into existing workflows so seamlessly that the transition is straightforward. Where there’s more to walk through, we make sure your team understands how everything works and feels confident using it.
Additional training sessions are available if needed — practical, hands-on, and focused on how the tool fits into your team’s daily workflow. These are quoted separately.
If your team wants to get more confident with AI more broadly — understanding how to use AI tools effectively and safely within your organisation — we offer that as a separate engagement.
What you get: A system your team is confident using from day one, with additional training available if needed.
Ongoing Support
Your business will change and your systems should change with it. We offer ongoing support packages for maintenance, optimisation, new features, and reviews to spot what else could be improved.
This isn’t a break-fix support contract, it’s a partnership for continuous improvement. Every project we deliver reveals new opportunities for speed, understanding, and profit. The businesses that get the most from AI are the ones that treat it as an ongoing journey, not a one-off project.

Our Commitment

Everything we build for you is yours — no lock-in or ongoing licence fees for the build itself.
